About the Role

We are seeking a highly organized and proactive Mortgage Broker Operations Assistant to support Canadian mortgage brokers with administrative operations, client communication, and workflow management.

This is an in-person position based in our new office in Mactan, Lapu-Lapu City. You will work in a professional office environment alongside a growing operations team supporting financial professionals in Canada.

Your role will help ensure mortgage applications move smoothly through the pipeline by assisting with documentation, CRM updates, client follow-ups, and operational tasks.

Key Responsibilities

Mortgage File & Document Management

  • Request and collect required documents from clients

  • Organize mortgage application files

  • Prepare files for broker review before lender submission

  • Track missing documents and follow up with clients

  • Ensure documentation is organized and compliant

CRM & Pipeline Management

  • Maintain accurate records in CRM systems

  • Update deal stages and pipeline progress

  • Track mortgage applications from submission through approval

  • Maintain detailed client records and follow-up reminders

Client Communication

  • Send document requests to clients

  • Follow up on missing paperwork

  • Confirm appointments and meetings

  • Provide updates to clients as directed by the broker

Administrative & Operational Support

  • Manage broker email inboxes

  • Schedule meetings and calls

  • Maintain organized digital file systems

  • Assist with day-to-day operational tasks

Marketing & Content Support

  • Create simple social media graphics using Canva

  • Schedule social media posts

  • Assist with basic video editing for short-form content

  • Organize marketing materials and templates

Qualifications

Required

  • •Excellent written and spoken English

  • •Strong organizational and time management skills

  • •High attention to detail

  • •Ability to manage multiple tasks and priorities

  • •Professional communication skills

Preferred

  • •Experience supporting mortgage brokers or financial services

  • •Administrative or operations experience

  • •Familiarity with CRM platforms (HubSpot, Salesforce, etc.)

  • •Canva or social media content experience

  • •Experience working in BPO or operations teams
